Google Calendar meeting setup from first invite to booking page

Create, share and manage a Google Calendar meeting, then let a booking page take over.

Google Calendar is where most meetings live. Setting one up takes a minute once you know where the options are. This guide walks through creating a meeting, adding guests and a video link, and then shows how to stop creating them by hand.

Create the event

  1. Open Google Calendar and click Create, or click an empty slot in the grid.
  2. Add a title that describes the purpose of the meeting.
  3. Set the date, start time and end time. Check the time zone if guests are elsewhere.
  4. Click Add guests and type the email addresses.
  5. Click Add Google Meet video conferencing, or paste your own video link into the location.
  6. Add a description with the goal and any files to read.
  7. Click Save and choose to send invitations.

Check availability before you send

When you add guests from the same organisation, the Find a time view shows their busy blocks next to yours. Pick a window where everyone is free. For guests outside your organisation you cannot see their calendars, which is where a booking link becomes useful.

Set guest permissions

In the event details you can decide whether guests can modify the event, invite others and see the guest list. For client meetings it is usually best to switch off modify and invite others, so the event stays as you set it up.

Use the right notifications

Add a notification, for example ten minutes before the meeting, so you are never late. Guests get their own reminders from their calendar settings. If you want a reminder the day before as well, add a second one.

Where manual setup breaks down

Creating every meeting yourself works while you have a few meetings a week. It breaks when clients ask for times, when a team needs to share incoming calls or when someone reschedules at the last minute. Each of those becomes an email thread that you have to manage.

Move to a booking page

A booking page connects to your Google Calendar and shows only times that are free. CalendarMeeting reads your calendar for conflicts, creates the event with a Meet or Zoom link when a client books, and writes it back to Google Calendar. Rescheduling and cancelling happen from a link in the invite, and the calendar updates itself.

  • Connect your Google account once.
  • Choose the hours you want to take meetings.
  • Pick Google Meet as the location.
  • Share the link in emails, on your site or in proposals.

You keep Google Calendar as the source of truth, and the repetitive part of scheduling goes away.
