Cancel meeting Google Calendar events without confusing your guests
Cancel a Google Calendar meeting as host or guest, and make cancellations easy for clients.
Cancelling a meeting should take seconds, but the details matter. If you cancel the wrong way, guests keep a ghost event on their calendar or never find out. This guide covers the cases you are likely to meet.
Cancel a meeting you organised
- Open Google Calendar and click the event.
- Click the trash can icon, Delete event.
- Choose whether to send a cancellation email to the guests. Say yes if you want them to know.
- Confirm. The event disappears from every guest calendar that accepted the invite.
Add a short message if the dialog offers one. A line such as "I need to move this, I will send new times shortly" saves a round of questions.
Cancel one event in a recurring series
Click the event, then delete it and pick This event to remove only that day. Pick This and following events to end the series from that date. Pick All events to remove the whole series. Choosing the wrong option is the most common mistake, so read the choices before you confirm.
You are a guest and cannot attend
You cannot cancel a meeting someone else organised, but you can decline. Open the event and choose No, or use the response buttons in the invite email. You can add a note for the organiser. The event stays on the organiser calendar and shows you as declined.
What if you removed it by mistake
Open the trash in Google Calendar from the settings menu, find the event and restore it. Restored events keep their guests, but you may need to send the update again.
Make cancelling easy for clients
When clients book through a link, they should be able to cancel from a link as well. Otherwise they reply to your email, you open your calendar and delete by hand, and the slot stays blocked in the meantime.
With CalendarMeeting, each confirmation and reminder contains reschedule and cancel links. When a client cancels, the event is removed from your Google Calendar, the video link is closed and the time opens up for other bookings. If you delete the event yourself in Google Calendar, the booking is cancelled in the same way.
Good cancellation etiquette
- Cancel as early as you can, so the other person can use the time.
- Offer new options, or share your booking link.
- Keep the message short and polite.
- For paid or reserved sessions, state the rules in the booking page before the client books.
